Privacy Policy

This policy explains how Hotel Response LLC (“Hotel Response,” “we,” “us”) handles information in connection with our Paul Woodley and Richmond Dinh interview landing page and inquiries about the five-day one-on-one challenge. It applies to this landing page, not to every other Hotel Response product or third-party website.

Your choices at a glance

1. Information we receive

When you browse or watch. The server delivering this page and video receives technical information needed to respond to your request, which may include your IP address, browser information, requested resource, request time, and error information. Hosting providers may record these details in operational and security logs.

When you contact us. If you email Paul, we receive your email address, the information in your message, and any attachments you choose to send. Please do not send hotel guest records, payment details, sensitive personal information, or confidential client lists through a challenge inquiry.

Interview access and challenge inquiries. After the first 1 minute 5 seconds, the video overlay asks for your email to request the transcript and key takeaways. Choosing Get transcript & key takeaways sends it to Hotel Response's ActiveCampaign account through native form 1, with form identifiers and technical request information, and adds the Richmond-Interview-Access tag. The form adds the access tag and emails the submitted results to Paul at paulwoodley@gmail.com for internal review. It has no list-subscription, contact-email, campaign, or automation action. The challenge form records your email and affirmative inquiry consent in native form 2, with the Richmond-Challenge-Request tag. Its actions add the request tag and email the submitted results to Paul at his designated notification address, paulwoodley@gmail.com. It has no list-subscription, contact-email, campaign, or automation action. If you already have an ActiveCampaign contact record with us, submitting may identify that record and add the interview-access tag; blank-field overwrites are disabled.

2. How we use information

We use information to deliver the page and video, investigate technical problems or abuse, respond to inquiries you choose to send, and handle privacy requests. Requesting interview access does not subscribe you to marketing emails or enroll you in a challenge. We use the submitted email to record your transcript and key takeaways request and allow Paul to respond manually with the requested resource, not as consent to unrelated marketing. A PDF and plain-text download are available immediately after successful submission. Automatic resource emails are not enabled.

Challenge-details requests. The separate challenge form requires an unchecked consent box before submission. It records your email and your choice to request details, including permission for Paul to reply to that inquiry. This is not consent to unrelated marketing, a mailing-list subscription, a booking, or enrollment in the five-day challenge. No automated follow-up to the person submitting the form is configured. A separate internal notification sends the submitted email and consent to Paul at paulwoodley@gmail.com so he can review the inquiry. Existing contacts retain their list subscriptions and other information; only a visitor’s submitted request and consent are recorded.

3. Service providers and disclosures

The production video connection is designed to use Vercel hosting and Vercel private Blob storage through a server-side delivery route. Vercel processes network requests to provide those services. The local preview serves a recovered interview file from this computer. Production streams the full interview from private Vercel Blob storage through a fixed server-side delivery route.

ActiveCampaign processes interview-access submissions when you use the overlay. Its native form validates the submission and returns success or error information to this page. A successful response unlocks playback; it does not verify ownership of the submitted address. No confirmation email to the person submitting or mailing-list subscription is configured for this access form. ActiveCampaign sends Paul an internal notification at paulwoodley@gmail.com when the access form is submitted successfully. If you email us, email service providers process that correspondence. We may also disclose information where required by applicable law or reasonably necessary to address misuse, security incidents, or legal claims.

This landing page does not sell personal information or share it for targeted advertising. It does not provide visitor information to other hotels for their marketing.

Provider information: Vercel Privacy Policy and ActiveCampaign Privacy Policy. Those policies describe the providers’ own practices and do not replace this policy.

4. Cookies, storage, and external links

The page uses sessionStorage to remember that ActiveCampaign accepted your interview-access request for this browser tab's session. This flag contains no email address, is not a secure login, and can be cleared through your browser. The page does not intentionally set tracking cookies or load advertising or analytics trackers. The native form script reads submission-related browser context and communicates with ActiveCampaign when you submit; the optional success tracking hook is not used. Your browser may cache page and video files as part of ordinary browsing.

Links to other websites take you to services governed by their own policies. This policy does not control their collection or use of information.

5. Retention

Interview-access emails, challenge inquiry emails, the relevant tags, and affirmative inquiry consent are stored in ActiveCampaign. We retain those records as needed to manage access requests, handle inquiries, meet applicable obligations, and resolve disputes. For correspondence you send directly, we retain information as needed to manage that inquiry. No automatic deletion period has been configured for interview-access or challenge-inquiry records. You may request deletion using the contact below. Some information may need to be retained for legal or security reasons, and backups may not be removed immediately.

Hosting and email providers may retain operational records under their own retention schedules. We have not set or verified a single retention period for those provider logs. If email subscriptions are enabled, a minimal opt-out record may be retained to honor unsubscribe requests.

6. Your privacy choices and requests

You may contact us to ask about personal information connected to your inquiry, request access or correction, request deletion, or withdraw consent to future optional emails. Where applicable law provides additional rights, you may exercise them through the same contact. Available rights and exceptions depend on your location and circumstances.

Email paul@hotelresponse.com with the subject “Privacy request.” Tell us what you are requesting and the email address involved. We may need information to verify the request; please do not send identification documents unless we discuss a suitable method with you. If marketing emails are enabled, you can also use the unsubscribe link in those messages. Unsubscribing does not prevent a reply to an inquiry you initiate.

7. Security and processing location

The production design keeps private Blob credentials on the server rather than in page code. No method of transmission or storage can guarantee absolute security. Service providers may process information in the United States or other countries where they operate; privacy rules may differ from those in your location.

8. Children

This page is intended for adult hotel and business professionals. We do not seek information from children under 13. If you believe a child has sent us personal information through an inquiry, contact us so we can investigate and address it.

9. Changes to this policy

We will update this page and its date when the landing page’s information practices change. Enabling email signup, tracking, or a materially different use of information requires the relevant disclosures and any required consent before that change takes effect.
